This California Job Applicant Privacy Notice (the “Job Applicant Privacy Notice”) provides information about how American Honda Motor Co., Inc., its affiliates, subsidiaries, and other related entities (collectively “Honda,” “we,” “us,” “our”) collects, uses, and discloses Personal Information (as defined below) of current or former job applicants who reside in California in the context of the potential employment relationship.
NOTICE AT COLLECTION
INFORMATION WE COLLECT
We may collect information that personally identifies, relates to, describes or is capable of being associated with you (“Personal Information”), including:
Identifiers such as name, Social Security Number, taxpayer identification number, driver’s license number, email address (personal and work), mailing address (personal and work), phone number(personal and work), online contact information (LinkedIn profile);
Characteristics of protected classifications under California or federal law such as gender, age, race, ethnicity, disability status, marital status, nationality, citizenship status, military veteran status;
Professional/employment information such as performance reviews and skill assessments, positions held, department/unit/team name, manager name, tenure or dates of employment, references.
Education information such as educational institutions attended, degrees received, college transcripts, education level; and
Personal information categories listed Cal. Civ. Code § 1798.80(e) to the extent collected under another category of Personal Information above.
Some of the Personal Information listed above may be considered sensitive under California law (“Sensitive Personal Information”), including:
Social Security Number, driver’s license number, tax identification number; and Race and ethnicity.
The types of Personal Information we collect about you may vary based on employment functions and benefits provided. If you are a current or former Honda associate, records relating to your current or former Honda employment may be used in connection with an application for other employment with Honda. Please refer to Honda’s California Associate Privacy Notice for additional information regarding the types of Personal Information collected and used in the context of that relationship.
HOW WE USE INFORMATION
Generally, we, directly or through service providers, use Personal Information to:
Advertise available positions or information about careers with us;
Evaluate candidates for initial and continued employment, including conducting background checks and drug screening;
Conduct cognitive assessments;
Optimize our business and workforce;
Maintain company security;
Communicate with associates via mail, email, telephone and/or text messaging;
Comply with legal and contractual obligations;
Enable use of our website(s); and
Analyze, develop, improve and maintain the security of the website(s).
We use Sensitive Personal Information as follows:
Social Security Number and driver’s license number – to determine employability of job applicants and to perform background checks and drug screenings.
Race and ethnicity - to report to regulators and to measure our performance against diversity goals.
We may also use Personal Information and/or Sensitive Personal Information as described to you at the point of collection, with your consent, or as otherwise required or permitted by applicable laws. We do not use Sensitive Personal Information for purposes outside those listed in California Code of Regulations Title 11 § 7027(m).
THIRD-PARTY SELLING OR SHARING
We do not sell or share (for cross-context behavioral advertising purpose) Personal Information of any current or former job applicants, including of persons under 16 years of age, to third parties.
DATA RETENTION
We keep your Personal Information for as long as needed or permitted considering the purpose(s) for which it was obtained. The criteria used to determine our retention periods include (i) for as long as we have an ongoing relationship with you; (ii) as required by a legal obligation to which we are subject; or (iii) as advisable in light of our legal position (such as in regard of applicable statutes of limitations, litigation, or regulatory investigations).
If you are offered and accept employment or a contractor relationship with us, the Personal Information we collected during the application and recruitment process will become part of your employment or contractor record, and we may use it in connection with your relationship with us consistent with our policies. If you do not become an associate or contractor, we will retain and destroy your Personal Information in accordance with our document retention policies and applicable laws and regulations.

HOW WE COLLECT INFORMATION
Voluntary Disclosure
We may ask you to provide us with Personal Information when you communicate with us (online or offline), when you apply to a position or apply for a promotion, and at other times. We may also collect information you make available through public forums, online accounts and social media platforms.
Third-Party Data Sources
We may collect Personal Information from third-party data sources such as references and service providers hired to provide identity verification services or conduct background checks, drug screenings, or credit checks.
HOW WE DISCLOSE INFORMATION
We may disclose your Personal Information for employment-related purposes to:
Associates, contractors, or designated agents who require such information to assist us with administering our relationship with you.
Service providers who require such information to assist us with administering our relationship with you, including service providers who provide services to us or you or on our behalf. Service providers may include, but are not limited to, professional employment organizations, background check providers, and data storage or hosting providers. These service providers may be located outside of your home jurisdiction. We do not permit our service providers to use your Personal Information for their own purposes. We only permit them to use your Personal Information for specified purposes in accordance with our instructions.
Third parties where required by law, to protect our rights and property and the rights of property of any related companies, during emergency situations or where necessary to protect the health or safety of persons, or if a business transfer or change in ownership occurs and the disclosure is necessary to complete the transaction.
In the past twelve months, we have disclosed all of the above categories of Personal Information to one or more of the following categories of third parties who are not our service providers for a business purpose that is not the sale or sharing (for cross-context behavioral advertising purposes) of Personal Information: governmental officials and agencies, law enforcement, courts, parties to litigation, and non-party witnesses.
We do not sell or share (for cross-context behavioral advertising purposes) Personal Information collected in the employment context.
DATA SECURITY
We recognize the importance of safeguarding the confidentiality of Personal Information from loss, misuse, or alteration. Accordingly, we employ commercially reasonable administrative, technical, and physical safeguards to protect Personal Information from unauthorized access, disclosure, and use. Even with these safeguards, no data transmission over the Internet or other network can be guaranteed 100% secure. As a result, while we strive to protect information transmitted to us, you do so at your own risk.
UPDATING YOUR INFORMATION

CALIFORNIA PRIVACY RIGHTS
If you are a current or former job applicant residing in California, you have additional rights to access and control your Personal Information. Exemptions may apply. Privacy rights include:
Right to Know
You have the right to request twice per 12-month period that we provide you (i) the categories or specific pieces of Personal Information we collected about you; (ii) the categories of sources from which your Personal Information was collected; (iii) the business or commercial purpose for which we collected your Personal Information; and (iv) the categories of third parties with whom we sold, shared, or disclosed your Personal Information, including the categories of Personal Information sold, share, or disclosed to each and the purposes for doing so. We will not provide specific pieces of Personal Information in response to a request unless you expressly request them. We are not permitted to provide access to specific pieces of Personal Information if the Personal Information is sensitive or creates a high risk of potential harm from disclosure to an unauthorized person (e.g., financial information, social security numbers, and driver’s license numbers). To protect your Personal Information, we will take steps to validate your identity before any information is disclosed which may require you to provide additional information or documents. We will process verified requests within 45 days, subject to any applicable exceptions and extensions permitted by law.
Right to Delete
You have the right to request that we delete Personal Information we have collected about you. Please understand that we are not required to honor a deletion request if a legal exemption applies such as if we need the information to complete a requested or reasonably anticipated transaction, prevent security incidents or fraud, enable internal uses that are reasonably aligned with your expectations, or comply with legal obligations. To protect your Personal Information, we will take steps to validate your identity before your request is processed which may require you to provide additional information or documents. We will process verified requests within 45 days, subject to any applicable exceptions and extensions permitted by law. We will retain a copy of your Delete My Personal Information request for at least two years as required by law.
Right to Correct
If you believe that your information is inaccurate, you may submit a correction request. When you make your request, please be sure to provide us the specific information that you believe is inaccurate and the correct information. You should also provide us with any documentation you believe supports your proposed correction, and we will take that documentation into consideration. We will only correct the information if we determine, based on the totality of the circumstances, that your correction is more likely than not accurate. We may also choose to delete the allegedly inaccurate information instead of correcting it. We will process verified requests within 45 days, subject to any applicable exceptions and extensions permitted by law.
