Job Purpose

The position entails compiling, analysing and managing the flow of information between the PS&P Business Unit and AHM PRO / HNA business units, ensuring adherence to regulations for reporting to agencies like the CPSC, NHTSA, and the Coast Guard. This includes overseeing the execution of product campaigns and compliance documentation. Additionally, the role encompasses key administrative responsibilities for the Aftersales Experience Division in South Carolina, serving as a central point of coordination for the division's operations.

Key Accountabilities

  • PS&P Business Unit Liaison between PRO / HNA legal office and all internal depts of PS&P that are tasked with providing information for CPSC, NHTSA, Coast Guard & general product campaigns reports.
  • Must be able to independently compile, organize, and analyse data to satisfy request from PRO / HNA legal.
  • Responsible for independently evaluating information and determining if information accurately and completely satisfies requirements for reporting to PRO/HNA legal within required timelines.
  • Ability to prepare the logical presentation of the materials related to these reports is also critical.
  • Project manager for Service Actions (Safety Recalls, PUDs, etc.) Ensures activity is completed according to schedules/timelines defined in Service Action Meetings to maintain compliance with regulatory agencies.
  • South Carolina based Aftersales Experience Division Administrative Activities
  • Coordinating executive schedules, including meetings, travel arrangements, and engagements. Facilitating meeting logistics, such as room bookings, equipment setup, and document preparation.
  • Coordination of Company Assets in according with company policies (Company Car, Product Inventory)
  • Purchase order / invoice processing
  • Aftersales Experience Division SC location-based associate on-boarding support (Uniforms, equipment, etc.)

Qualifications, Experience, and Skills

Minimum Educational Qualifications
▪ High school diploma or equivalent is required, with a Bachelor / Associate degree preferred in a business admin / Paralegal related field.

Minimum Experience
▪ Paralegal / administrative support with responsibilities for government / regulatory entity reporting (combination of education, experience, and skills).
▪ Proven experience as an administrative assistant or a similar role, demonstrating familiarity with office procedures and reporting protocols and minimum 2 years supervisory experience, including objective setting (PDCA process).

Job Dimensions

  • Timely and accurate completion of a PRO / HNA legal requests coordinating information from portions of the PS&P Business Unit.
  • Timely and accurate completion of activities required for a successful campaign launch for market actions.
  • Quality – High accuracy execution of requested assignments, minimal re-work & re-report.
  • Delivery – Regularly achieve deadlines and schedules to maintain fast pace of operation.

Decisions Expected

  • Activity planning / scheduling across the division and business unit to ensure accurate completion of reports required related to CPSC safety defect investigations.
  • Activity planning / scheduling across the division and business unit to ensure accurate completion of activity required to launch a market action (Safety recall / Product Update) to ensure compliance with agency (CPSC, NHTSA, USCG, etc.) regulations.
  • Setting schedules for activities balancing the inputs of multiple stakeholders working to achieve a collaborative mindset while achieving results.

Working Conditions

  • Open office environment, 20% work from home.
  • Up to 80% of the associate’s time is sitting while working at a computer, monitor, and phone.
