Job Purpose

The purpose of this job to ensure Business Partners – Suppliers, Customers, Vendors, Processors are created in 3rdWave, PLEX, SAP for lines of business to successfully transact. Timely vetting, onboarding and maintenance of Business Partners in 3rdWave, PLEX and SAP systems for US, Canada and Mexico.  The analyst needs to continuously balance the demand from Operations for changes/additions to the onboarding document, while preserving its integrity. The analyst needs to provide support requests from the auditors. The analyst will be responsible for training additional team members who will support as backup to this role

 

This role provides regional leadership for activities related to Business Partners including analyzing deficiencies and developing action plans around the deficiencies and ensuring all involved parties are communicated and comply with the rules.

Key Accountabilities

Regional: Onboarding Business Partners 
•    Responsible for execution of Business Partner vetting, onboarding and maintenance in 3rdWave, PLEX and SAP systems on timely fashion as per the requested party. 
•    This includes maintenance of address changes, name changes, associate set-ups, credit limit changes, payment terms and method changes, remit-to changes, banking information
•    Manage KPI metrics and delivery performance for the team and ensure accuracy and timely delivery
Regional: Strategic Planning & Risk Mitigation
•    Develop relationships with internal and external partners understanding their needs and concerns. Interacting with the lines of business regarding their onboarding packets and ensuring alignment with the contract management team. Training the lines of business where required to ensure the onboarding packets are accurate
•    Analyze the gaps and develop potential solutions to meet the customer’s needs
•    Develop solutions to increase trust and gain efficiency in the overall process
•    Identifying and addressing any risk associated in the business partner onboarding process
Regional: Governance & Compliance
•    Implement quarterly verification and correcting Duplicate and Deactivation of Business Partners as per the established rules in the procedural document
•    Overall responsibility for maintaining the HTNA Regional Business Partner Onboarding Template and Tracker Maintenance and monitoring its integrity and ensuring up-to-date documentation
•    Provides support to the Contract Management team to review legal documentation and ensure contract requirements are met
•    Responsible for compiling and validating reports as requested by various teams on timely fashion. Credit Requests/ W-9 Requests, D&B Reports, Monthly Change Reports, Supplier Reporting, Annual Report for Accounting
Regional: IT Audit 
•    Responsible for supporting internal and external audits by demonstrating ITAC controls and providing required evidence
•    Ensure audit deficiencies are documented and appropriate action taken and communicated
Training & Advisory Role
•    Responsible for training new team members in this role. Providing testing support as required
•    Training business users on Business Partner Onboarding Packet and contract management
•    Provide guidance/ advise as per need on the legacy processes (e.g. HR Vehicle Administration)

Qualifications, Experience, and Skills

Minimum Educational Qualifications:

  • Must have at least an Associate’s Degree

Minimum Experience:

  • 3-5 years of SAP, 3rdWave experience and/or HT business experience
  • Experience working within ITAC frameworks is preferred
  • Contract Management knowledge preferred

Other Job-Specific Skills

  • As-Is/ To Be business process analysis and development.
  • Experience with Microsoft Excel, Word and PowerPoint
  • Demonstrated organizational skills.
  • Communication (including written, verbal and meeting facilitation) & Negotiation capability
  • Extensive business knowledge or specific Line of Business knowledge including creation and analysis of business cases
  • Prioritization and judgement skills to approve or reject requests based on careful analysis and organizational priority

Financial Dimensions: Solely responsible for 100% of business partner contracts for US, CA, MX

  • Determine if changes or updates to processes fit organization governance requirement
  • Prioritization of business partner setup to ensure business continuity
  • Periodic compliance reviews and addressing the gaps raised by the auditors
