About this Position:
The executive assistant role will perform a variety of detailed and complex administrative tasks and support our company’s executive members. The executive assistant’s responsibilities include managing calendars, prioritizing activities, making travel arrangements, preparing expense reports, and supporting meeting set-up. The position requires the ability to anticipate needs, think critically, be organized, and provide insight with a high level of professionalism and confidentiality. The executive assistant role will coordinate meetings and make business and travel arrangement decisions for the executive leaders and their team.
Responsibilities include:
- Support and prioritize activities Honda Development Manufacturing America (HDMA) executives daily, maintaining confidentiality when handling scheduling and communication. Handles daily and long-range calendar for multiple leaders. Identify potential conflicts and make recommendations for resolution
- Interface with all HDMA Business Centers, Business Units, NA companies as well as Honda Motor Japan to coordinate business functions
- Coordinates travel plans and means of transportation for executives and makes changes quickly when required
- Prioritize action items and due dates, bringing key items to the executive’s attention. Initiates necessary actions, e.g., follow-ups, prioritizations, action required etc. Drafts responses for executive review, implementing their style into all communications
- Support the schedule and assist with set-up of major meetings and communicate with business partners to coordination of executive visitor meetings
- Perform administrative responsibilities including budgets, asset controls, and record retention
- Understanding of Honda’s key activities and terminology; corporate policies and management guidelines, and basic development of new models
Who we are seeking:
Required Work Experience:
- Minimum of 6 years of experience in an executive assistant position providing support to a senior executive in a fast-paced, dynamic environment
Required Education:
- Associate or Bachelor’s Degree of equivalent experience
Desired skills:
- Ability to exercise independent decisions and judgements
- Excellent communication skills (written & verbal)
- Japanese Bilingual
- Strong team player with good planning and organizing, problem-solving, decision-making and interpersonal skills
- Advanced PC skills (proficient using Microsoft Windows, Word, Excel, Outlook, PowerPoint, Teams)
- Detail orientated, accurate and consistent
- Makes high-level contacts of a sensitive nature inside and outside the company
Additional Position Factors:
- Open office environment with moderate noise and activity
- Some OT maybe required based on targets and deadlines
